Conference Activation Guide: From Brief to Guest Delivery
Plan a conference activation around a clear objective, a suitable MooMuu experience and agreed guest, venue, branding and delivery requirements.
A useful conference activation brief explains what guests will do, what they will receive and how the experience fits the programme. Begin with those decisions before choosing a theme or ordering additional event styling.
MooMuu offers photographic experiences, individual robotic artwork and shared mosaics, among other creative formats. They are different services with different outputs and operating needs. This guide helps you shortlist an experience and prepare the details for a tailored proposal.

Write the objective in one sentence
Decide whether the main aim is a guest keepsake, a branded portrait, individual artwork or a shared contribution. A short optional activity during arrival may need a different format from a longer networking break or an evening awards dinner.
Choose a measure you can actually record, such as completed portraits or contributions. Footfall, waiting time, image delivery, public shares and qualified sales enquiries are not interchangeable. Agree what can be reported before the event rather than promising a general increase in engagement.
Choose a format by what guests receive
Signature GLAM creates black-and-white photographs using controlled studio lighting, bespoke monochrome processing and a black or white backdrop. Prints, digital sharing and attendant support are included during the agreed hire. It is photography, not an AI-themed transformation.
The ICON Booth and Luxury Oak Booth offer attended colour photography with prints and digital sharing. The Digital Booth is instead self-service and print-free: delivery, installation, testing, collection and remote support are provided, but an attendant does not normally stay on site. A large freestanding backdrop is not supplied as standard with Digital Booth.
AI Sketch Bots use robotic arms and real pen on paper to create individual portraits. Agree the illustration style, bot count and hire hours, with space for guests to watch and collect their drawings. They are not live human illustrators or a collective mosaic.
The AI Experience creates themed portrait transformations; review the style, allow for variation and confirm digital delivery and any printing. The Graffiti Wall uses a digital canvas and digital spray cans, without physical paint. AI Line 2 Life is optional. Choose between these activities based on what guests will actually make.
A physical Photo Mosaic Wall builds a larger image from photo tiles. Digital Mosaic offers a screen-based format. Agree the contribution method, target artwork, completion and handover. Neither is automatically added to a booth booking; any combined capture-and-display route needs its own specification.
Confirm the complete operating plan
Share the floor plan, delivery route, power, connectivity and venue access times. Leave room for guests approaching, participating, waiting and departing. Luxury Oak cannot be carried up or down stairs; a suitable lift or ramp route needs assessment. MooMuu does not supply props; extra furniture, flowers or staging need separate arrangements unless expressly included.

Plan around arrival and break-time peaks, not daily averages. Include the welcome, explanation, processing and collection stages when assessing capacity, and confirm each staffing role. Approve branding and data requirements
Provide brand files, colours, wording and the intended output early enough for review. A physical backdrop, print layout, digital artwork and display are separate design choices. Check legibility in the finished output, and define any bespoke interaction or system integration before it is promised to stakeholders.
MooMuu can provide data capture for corporate events. Agree the fields, purpose, guest choices, consent wording and delivery in advance. Details entered only to receive an image should not be treated as marketing permission. Do not assume badge scanning, registration syncing or CRM integration is included.
Agree delivery and the post-event handover
Confirm how guests receive their photograph or artwork, what the organiser receives, and any permissions needed for wider use. A physical mosaic needs a collection or handover plan; a digital output needs a delivery route. Identify the event-day contact and agree what happens if connectivity or the running order changes.
