How MooMuu creates AI sketches, delivers guest images and looks after event media.

This page explains the AI Sketch Bot workflow and MooMuu’s image-retention arrangements. Read it alongside our Privacy Policy and any privacy notice agreed for your event.
Are guest photographs used to create the sketches?
Yes. We take a photograph of each participating guest and use it as the reference for their personalised AI sketch. Our cloud-based AI processing provider generates the artwork, and a robotic pen draws the physical portrait live on site. Guests can watch the experience and collect their paper sketch.
Do you use images to develop or train AI models?
No. MooMuu does not use original guest photographs or generated sketches to develop or train AI models, now or in the future. Our AI processing provider also confirms that guest photographs are not used for AI training.
Where does AI processing take place?
AI sketch generation uses external cloud infrastructure. Our processing provider lists these infrastructure locations:
- Amazon Web Services: Frankfurt, Germany and Northern Virginia, USA.
- Google Cloud: Zurich, Switzerland and Iowa, USA.
The processing location depends on the configuration. A fixed processing region for UK events has not yet been confirmed. If your organisation has a specific data-location requirement, please contact MooMuu before your event so the available arrangements can be confirmed.
How long are photographs and sketches retained?
Different copies have different retention arrangements:
- Original photos sent for AI processing: the copy uploaded to the AI processing server is deleted a few minutes after the sketch is completed. This does not delete MooMuu’s own copy of the guest photograph.
- MooMuu’s live gallery: the secure gallery is available for 90 days. Download any images you wish to keep before it expires.
- MooMuu’s archive: original guest photographs and generated sketches are retained for 12 months, starting from the day following the event. The 90-day live-gallery period is included within those 12 months. After the gallery closes, the media remains archived for the remainder of the retention period.
- Provider-held event projects: the AI processing provider retains generated sketches and associated form data until the event project is deleted. The temporary deletion of an uploaded original photograph does not delete that event project.

How can I request deletion?
Email info@moomuu.co.uk with the subject Image Deletion Request. Include the event name or date and enough information to help us locate the relevant image or gallery. We may ask for information to confirm your identity and locate the records.
Please tell us if your request also concerns information held in the AI provider’s event project, so we can establish the relevant deletion scope.
Does the service use facial recognition?
We do not use guest photographs for facial recognition or to establish or verify a person’s identity. We do not intentionally create biometric identification profiles from guest photographs. The photographs are used to create the requested artwork.
How is data protected?
Our AI processing provider reports encryption in transit and at rest, including AES-256 encryption for stored data. It also reports multi-factor authentication for administrator accounts and annual security testing.
MooMuu provides a secure live gallery and retains event media for delivery and archiving under the arrangements above. Our wider security practices are described in our Privacy Policy.
What about data processing agreements and international transfers?
The information currently available to MooMuu includes our AI provider’s written processing and security guidance. Availability and terms of a formal data processing agreement remain to be confirmed.
Cloud processing may involve data transfers outside the UK. If your organisation requires a data processing agreement, a specified processing region or international-transfer documentation, contact MooMuu before the event to discuss the requirements and confirm what documentation and configuration are available.
The roles of MooMuu and the event organiser depend on the booking and the purposes for which guest information is collected. Our Privacy Policy explains these arrangements. Any event-specific notice should explain the information collected and its intended use.
Can guests receive digital images?
Yes. Guests can receive a physical sketch and a digital version. Digital images can be delivered by email or accessed through a QR code. If a guest supplies an email address solely to receive an image, we use it for that purpose; any unrelated marketing is handled separately as explained in our Privacy Policy.
For AI Sketch Bot events, MooMuu sends all digital copies to the client within 48 hours of the event ending. Sketches are created live on site, and we plan capacity around the number of bots and the time available. Digital delivery provides a copy of any image whose physical sketch was not completed on site.
Can guests share their sketches on social media?
Yes. Guests can share their finished sketches on social media. We can remove the direct social-sharing links if required. Guests can still post independently, with or without those links; MooMuu does not control who posts an image or where they post it.
