MooMuu Experiential – Terms and Conditions of Hire

1. Contract Documents and Order of Priority

The agreement between MooMuu Experiential and the Client consists of:

  1. Any written variation subsequently agreed by both parties;
  2. The accepted quotation, proposal or booking confirmation;
  3. Any product-specific service schedule or specification; and
  4. These Terms and Conditions.

If there is a conflict, the documents will apply in the order listed above.

The accepted proposal or booking confirmation will identify the experience booked, operating period, package inclusions, guest outputs, technical requirements, optional extras and total price.

Website descriptions provide general information. The specific services included in the Client’s booking are those stated in the accepted proposal or booking confirmation.

2. Booking and Initial Payment

A booking is confirmed only when:

  • The required initial payment has been received; and
  • The Client has accepted the proposal, booking confirmation or booking agreement.

Unless a different amount is stated in the proposal:

  • The initial payment for a wedding or private event is £95; and
  • The initial payment for a corporate event or brand activation is 20% of the total booking value.

The remaining balance is due 14 days before the Event unless an alternative payment schedule is stated in the proposal.

All prices are inclusive of the items expressly listed in the proposal. Travel, accommodation, extended operating time, bespoke design, branding, additional staff, additional equipment and other optional services will be charged only where shown in the proposal or subsequently agreed in writing.

VAT will be charged only where legally applicable and expressly shown on the invoice.

3. Package Inclusions

Package inclusions vary between experiences. Where applicable, the Client’s accepted proposal or booking confirmation will state:

  • The experience and equipment included;
  • Operating time;
  • Number of attendants, technicians or Sketch Bots;
  • Number and type of prints or physical keepsakes;
  • Digital image delivery;
  • Online gallery access;
  • Backdrop and prop choices;
  • Branding and personalisation;
  • Data-capture facilities;
  • Setup, delivery and collection;
  • Guest-capacity guidance; and
  • Optional additions.

No universal print quantity, delivery method or operating period applies to every MooMuu experience. Where the proposal describes prints as unlimited, MooMuu will provide prints throughout the agreed operating period, subject to reasonable guest use, equipment capability and uninterrupted operation.

Where a package provides one print for each person shown in a photograph, guests must be present at the time the print quantity is selected. Reprints requested after the Event are not included unless stated otherwise.

4. Operating Time

The operating period is the period during which the booked experience is available for guest use. Setup and dismantling are not deducted from the agreed operating period.

Operating times vary by package. The definitive operating time will be stated in the booking confirmation.

If the Event, venue or Client prevents MooMuu from beginning at the agreed time, the scheduled finishing time will normally remain unchanged.

Additional operating time must be agreed in advance and may incur an additional fee.

5. Setup and Access

MooMuu will arrive within the access window agreed with the Client or venue.

Setup normally takes approximately 30–60 minutes for a photo booth. Larger or more complex installations, including Mosaic Walls, AI Sketch Bots, branded activations and AI Graffiti Walls, may require a longer setup period.

The Client must provide accurate information about:

  • Loading and parking;
  • Stairs, lifts and ramps;
  • Doorway widths;
  • Long or uneven access routes;
  • Security and accreditation;
  • Venue access times;
  • Temporary structures; and
  • Any venue restrictions.

MooMuu personnel will not carry heavy equipment on stairs. Where the event space is on another floor, a suitable lift or step-free ramp must be available.

6. Space and Power Requirements

Technical requirements depend on the experience booked and will be confirmed in the proposal or product-specific specification.

As general guidance:

Photo Booths

Most staffed photo-booth installations require approximately 2.5 m × 3 m of clear, level floor space, with approximately 2.5 m height clearance.

A standard UK 13-amp socket should normally be available within five metres of the booth position.

AI Sketch Bots

A standard two-bot installation generally requires approximately 3 m × 3 m of clear operating space.

One standard UK 13-amp socket should normally be available within ten metres.

Space requirements may increase when additional Sketch Bots are booked.

Mosaic Wall

A standard Mosaic Wall installation generally requires approximately 3 m × 3 m of clear operating space.

One standard UK 13-amp socket should normally be available within ten metres.

The wall dimensions and operating footprint will depend on the number of tiles and the agreed design.

Other Experiences

Requirements for the Digital Booth, AI Graffiti Wall and bespoke activations will be stated in the accepted proposal or technical specification.

The Client must ensure that power supplies are safe, reliable and not shared with high-load catering, entertainment or production equipment.

7. Prints and Physical Keepsakes

Print and keepsake entitlements vary by experience.

The accepted proposal will confirm whether the package includes:

  • Unlimited prints during the operating period;
  • One print per booth visit;
  • Duplicate prints;
  • One print for each person shown;
  • Physical Sketch Bot portraits;
  • Mosaic tiles;
  • Graffiti artwork prints; or
  • No physical printing.

MooMuu may temporarily suspend printing where necessary to replace consumables, correct a fault or protect equipment. Reasonable efforts will be made to restore printing promptly.

Additional post-event prints are not included unless expressly stated and may be subject to file availability and an additional charge.

8. Digital Delivery and Galleries

Digital delivery varies by experience and may include:

  • Email;
  • SMS;
  • QR-code delivery;
  • A guest sharing station;
  • A private online gallery;
  • Client portal delivery; or
  • A post-event file transfer.

Instant delivery depends on suitable internet or mobile-network availability and cannot be guaranteed where venue connectivity is unavailable or unreliable.

Where a standard post-event photo-booth gallery is included, MooMuu will normally issue access within 48 hours after the Event.

Bespoke corporate content, edited media, AI outputs or technically complex activations may have a different delivery period. Any different delivery period will be stated in the proposal.

Online galleries are normally available for 90 days from delivery. The Client is responsible for downloading and securely backing up all required files before the stated expiry date.

Gallery expiry does not necessarily mean that MooMuu’s internal backup is deleted on the same date. Event files may be securely retained for up to 12 months in accordance with MooMuu’s Privacy Policy and retention procedures, but recovery after gallery expiry is not guaranteed.

9. Internet-Dependent Features

Digital sharing, AI processing, online galleries, email delivery, SMS delivery and social-media features may depend on third-party software, venue Wi-Fi and mobile networks.

MooMuu will take reasonable steps to test and operate these features but cannot guarantee uninterrupted third-party connectivity.

Where instant delivery is unavailable during the Event, MooMuu may make the relevant files available through a post-event gallery or another reasonable delivery method.

10. Personalisation and Client-Supplied Materials

The Client must supply logos, artwork, names, dates, photographs and other requested material by the deadline stated in the proposal.

The Client is responsible for checking spelling, dates, logos and artwork proofs before approval.

Once a design has been approved, MooMuu is not responsible for errors contained in the approved material unless MooMuu subsequently alters the approved design incorrectly.

The Client confirms that it has permission to provide and authorise the use of all supplied logos, images, trademarks and other materials.

Unless otherwise agreed in writing, MooMuu retains copyright in photographs, templates, videos, illustrations and creative media produced through the Services.

For weddings and private events, the Client receives a perpetual, non-exclusive, royalty-free licence to download, copy, print and share the delivered media for personal and non-commercial use.

For corporate bookings, the Client receives the usage rights stated in the accepted proposal. Unless otherwise stated, these rights include internal communications, organic social media, websites and promotion of the Event or campaign.

The Client may not resell, sublicense or commercially license the media to an unrelated third party unless this has been agreed in writing.

Guests may download and share images supplied directly to them for personal use.

12. MooMuu Portfolio and Marketing Use

MooMuu’s use of identifiable event photographs or videos for its own portfolio, website, social media or advertising will be handled in accordance with the Privacy Policy.

Where appropriate, the Client will be given the opportunity to approve or decline portfolio use during the booking process.

The Client may notify MooMuu before the Event where the Event is confidential, subject to media restrictions or unsuitable for portfolio use.

MooMuu will consider and honour reasonable objections from identifiable individuals regarding the promotional use of their image.

13. Cancellation by the Client

The initial payment reserves equipment, staffing and capacity for the Event date.

If the Client cancels, MooMuu may retain the initial payment and charge a reasonable cancellation amount reflecting:

  • Work already completed;
  • Bespoke materials already ordered or produced;
  • Non-refundable third-party costs;
  • Staffing or travel commitments;
  • The proximity of the cancellation to the Event; and
  • MooMuu’s reasonable loss arising from being unable to rebook the date.

Any cancellation charge will take account of costs saved and any amount recovered by rebooking the date. It will not exceed the outstanding contract price.

The following cancellation schedule will normally apply as the maximum charge:

  • More than 90 days before the Event: initial payment and unrecoverable costs;
  • 61–90 days before the Event: up to 50% of the total booking value;
  • 31–60 days before the Event: up to 75% of the total booking value;
  • 30 days or fewer before the Event: up to 100% of the total booking value.

The actual amount payable may be reduced where MooMuu avoids costs or successfully rebooks the reserved date.

Cancellations must be submitted in writing.

14. Rescheduling

The Client may request one transfer to another date, subject to:

  • Availability;
  • At least 61 days’ notice;
  • The replacement date occurring within 12 months of the original date; and
  • Payment of any reasonable additional costs arising from the change.

A £50 administration fee may apply where stated in the booking agreement.

If MooMuu cannot accommodate the requested replacement date, the request will be treated as a cancellation unless otherwise agreed.

15. Outdoor Events and Adverse Weather

Outdoor operation is permitted only where the equipment is installed on firm, level ground and fully protected from rain, water, excessive heat, direct sunlight, high winds and other adverse conditions.

A marquee, gazebo or temporary structure must be professionally installed, weatherproof and suitable for valuable electronic equipment.

MooMuu may delay, relocate, modify or suspend operation where it reasonably considers conditions unsafe or likely to damage equipment or endanger staff or guests.

Where unsafe conditions result from the Client’s failure to provide the agreed protection or suitable alternative indoor space, the Client will remain responsible for MooMuu’s reasonable costs and losses.

Where neither party is responsible and the Event cannot proceed because of circumstances beyond reasonable control, the Force Majeure provisions will apply.

16. Force Majeure

Neither party will be liable for failure to perform caused by an event beyond its reasonable control.

Where the Services cannot be provided because of such an event, the parties will first attempt to agree:

  • A reasonable alternative setup;
  • A replacement service;
  • A transfer to another available date; or
  • Another fair solution.

If no alternative can reasonably be agreed, MooMuu will refund sums paid for Services not supplied, less any reasonable and evidenced costs already incurred specifically for the booking and which cannot be recovered.

17. Equipment Failure

MooMuu will exercise reasonable care and skill in preparing, maintaining and operating its equipment.

If a material equipment failure occurs, MooMuu will make reasonable efforts to repair the equipment, provide a replacement or offer an appropriate alternative.

Where a substantial part of the booked Service cannot be provided because of a failure within MooMuu’s control, the Client may receive an appropriate price reduction reflecting the affected portion of the Service.

Travel, staffing, printing, production or other elements successfully supplied remain chargeable.

Nothing in these Terms limits the Client’s statutory rights.

18. Complaints

Complaints should be submitted in writing as soon as reasonably possible so that MooMuu can investigate effectively.

Where possible, any concern arising during an Event should be raised immediately with the MooMuu attendant so that an attempt can be made to resolve it at the time.

MooMuu will acknowledge a written complaint within two working days and will aim to provide a substantive response within 21 days.

A delay in making a complaint does not automatically remove any statutory rights, although it may affect MooMuu’s ability to investigate the circumstances fully.

19. Consumer Rights

MooMuu will provide the Services with reasonable care and skill and in accordance with the material information included in the accepted proposal or booking confirmation.

Nothing in these Terms excludes or restricts any statutory right or remedy that cannot legally be excluded or restricted.
