Plan a London brand photo activation with a practical venue handover checklist covering access, guest flow, creative approvals and event-day delivery.
A London brand activation often involves an agency, a venue team, a client and several suppliers. Each may hold a different piece of the plan. A polished guest experience starts by bringing those pieces together: the route into the building, the position in the room, the approved artwork and the person who can make a decision when the doors open.
Use this checklist to build one practical handover for your photo activation. It is a planning aid, not a fixed equipment specification. Space, setup, staffing and output requirements should be confirmed for the chosen MooMuu experience and your venue.

1. Give the brief one clear owner
Name the event producer or agency contact who will gather approvals, then identify the venue contact and the person responsible for signing off creative work. These may be different people. Make their responsibilities clear before artwork and floor plans begin to circulate.
Record the date, venue and room, event timings, expected guest numbers and the purpose of the activation. A reception portrait moment, an exhibition interaction and a shared artwork have different demands. Write down what a guest should do and what they should receive.

2. Check the route from the vehicle to the final position
A room can have enough floor space while the access route still needs careful planning. Ask the venue about the loading point, arrival slots, parking arrangements, security check-in and any distance between unloading and the event space.
Where equipment must use a lift, share its usable dimensions and any booking restrictions. Note steps, narrow doors, level changes and the route available after the event. Agree who will meet the team and how access will work if a previous event or supplier runs late.
Photographs and a marked floor plan help make these conversations concrete. Include the final installation position and the route to it. Travel and logistics should be confirmed in the quotation for your event.

3. Mark the whole guest journey on the floor plan
Plan for more than the booth or screen itself. Guests need somewhere to approach, take part, collect an output where applicable, and move away without stepping back into the queue.
Consider nearby registration desks, catering points, sound systems and entrances. Check that the proposed queue and any viewing area fit the venue’s circulation plan. A visible position can help people discover an experience, but it also needs to work when the room is busy.

5. Put creative approval in one place
Gather the correct logo files, campaign colours, any approved wording and the artwork specifications supplied for the chosen experience. Confirm which surfaces or outputs are being branded. A print design, screen instruction and booth panel serve different purposes and may require different files.
Check the guest-facing wording as carefully as the visual treatment. It should explain what happens next and how an image or keepsake is received. Agree who signs off the final proof, the approval deadline and which version is approved for use.
Keep guest photo delivery and any proposed marketing follow-up as separate items in the brief. Decide what information is required for each, what guests will be told and who will approve that journey before it is configured.

6. Finish with an event-day handover
Bring the practical details into one short document the delivery team can use. Include access and setup times, the venue contact, operating windows, any programmed pauses, the agreed finish and collection arrangements.
For a physical keepsake, decide where guests collect it. For a shared artwork, agree how progress will be presented and what happens to the final piece. For digital outputs, confirm the delivery method and the contact responsible for any agreed post-event handover. Avoid leaving these decisions until the room is filling.
