High-Footfall Conference Activations: Capacity Planning

A practical guide to selecting an activation for busy conference periods, including participation capacity, queues, staffing and the output guests receive.

A busy conference needs an activation that fits the time delegates actually have. A long queue may show interest, but it can also mean guests miss the activity or arrive late for a session. Start with the busiest periods, not an average across the whole day.

Photographs, robotic portraits and shared mosaics have different guest journeys. Use the comparisons below to shortlist a MooMuu format, then agree capacity and the complete layout for your event rather than choosing from equipment size alone.

Map the peaks in your programme

Share the arrival window, refreshment breaks, lunch and session-change times. Identify where guests will be coming from and how long they can comfortably stop. A reception lasting an hour creates a different opportunity from a short break between presentations.

Plan the whole interaction: welcome, explanation, capture or creation, processing, output and departure. A quoted drawing or printing time is only one stage. Agree how people waiting, collecting an item or speaking to your team will be accommodated without blocking the next participant.

Choose the output and support level

For attended photographs with prints and digital sharing, compare Signature GLAM for black-and-white portraits with the ICON Booth or Luxury Oak Booth for colour photography. Agree the backdrop, print format and operating hours. Do not assume every photographic setup has the same capacity.

The Digital Booth is self-service and print-free. Delivery, installation, testing, collection and remote support are provided; an attendant does not normally stay on site. A large freestanding backdrop is not supplied as standard. If your plan depends on someone welcoming delegates or managing a queue, agree that role separately.

AI Sketch Bots create portraits using robotic arms and real pen on paper. Match the bot count, drawing style and hire hours to expected demand. Watching a drawing can be part of the experience, but the viewing area still needs space and is not a guarantee of participation.

The AI Experience offers themed portrait transformations; results can vary, and the capture, processing and delivery journey needs planning. The separate Graffiti Wall uses a digital canvas and digital spray cans without physical paint. AI Line 2 Life is optional. Allow time for creating artwork rather than treating either format as an instant check-in step.

Plan a mosaic as a separate activity

A physical Photo Mosaic Wall builds a larger chosen image from photo tiles. Agree the contribution route, wall position, target artwork and completion plan. Digital Mosaic is a separate screen-based format. Neither should be assumed to receive every booth capture automatically; any combined setup needs an agreed specification.

Give waiting and collection their own space

Mark the approach, participation area, waiting space and exit on the floor plan. Keep registration desks, exits, accessible routes and catering queues clear. Decide how the team will pause or redirect participation during a surge, and whether guests can return during a later break.

Confirm who operates the experience, who welcomes guests and who handles wider conference questions. Check loading access, power and connectivity. Luxury Oak cannot be carried up or down stairs; a suitable lift or ramp route needs assessment.

Keep the brief and measurement realistic

Review the finished print or digital output before approving artwork. Short instructions and legible branding help guests understand the activity. Record completed experiences separately from people who only watched, and distinguish image delivery from public sharing or a sales conversation.
