1. A clearly defined activity

Start with what guests will do. A hosted ICON Booth provides a photo experience with prints and digital sharing. The separate Digital Booth creates photos and motion content without prints and is normally self-service.

For something beyond a conventional photograph, AI Sketch Bots physically draw a portrait illustration on paper. The AI Graffiti Wall gives guests digital drawing tools, with optional AI transformation. Each is a different activity, not an interchangeable setting on one package.

2. Preparation for your event

Discuss the creative direction, audience and expected outputs. Depending on the chosen format, preparation may cover a photo layout, welcome screen, illustration style, digital canvas or master mosaic image. The proposal should identify the agreed personalisation and approvals.

Supply names, dates, logos and artwork carefully, and nominate one person to sign off the final design. A branded print template does not automatically include bespoke scenery, structural wraps, florals, props or custom packaging. Include those requirements in the brief so they can be assessed separately.

3. Delivery, installation and an operating window

Identify an event or venue contact for access and coordination. Equipment support is not a replacement for your wider event-management, registration or crowd-management team. Discuss who will guide guests to the activity and keep neighbouring routes clear.

5. Specific physical or digital outputs

Mosaic Wall Live includes an ICON Booth: guests keep a photo print and add a second coded tile to a physical wall. Agree the master image, tile plan, completion and safe handover of the finished artwork.

The separate Digital Mosaic accepts photographs through a QR code or link and builds on screen, including remote contributions. It produces digital artwork, not a physical printed wall. Confirm the display, monitoring window and any moderation.

For a photo or AI experience, establish which prints and digital files are included and which are optional. Specify what the guest receives, what the organiser receives and any gallery download deadline. Additional framing, editing, video production or photography across the whole event should not be assumed.

6. A realistic capacity and guest plan

Give MooMuu expected attendance and the time guests can actually participate. A short conference break has different needs from an evening reception. Drawing style, guest choices, group size and collection flow can affect the pace.

Do not judge capacity from equipment count alone or assume a quoted production rate removes waiting time. Make participation optional and discuss access needs. If you want several experiences at once, availability and staffing must be confirmed before treating them as one event plan.
