How to Plan a Luxury Event Installation
From the first creative brief to collection, plan the space, timing, staffing and output of a MooMuu photo or interactive installation.
A successful event installation begins with two connected decisions: what guests will do and how the experience will fit into the venue. Choose the visual finish alongside the access, operating space and schedule. This gives your planner, venue and MooMuu team the same brief to work from.
The Luxury Oak Booth is one example: natural oak, attended photography, personalised prints and digital sharing. Its finish may suit a country house, contemporary reception or branded event, but the final position must work for the equipment, backdrop and people using it, not just the room photograph.

Begin with a short creative brief
Tell us the occasion, audience, preferred look and intended keepsake. Share a floor plan, a few reference images and any brand guidelines. Separate essentials from ideas you are happy to explore: a particular portrait finish might be essential, while the backdrop or print layout could remain open to suggestions.
Choose a format with a clear purpose. ICON and Oak offer attended colour photography. Signature GLAM creates black-and-white portraits with controlled studio lighting. The Digital Booth is self-service and print-free, with remote support; an attendant does not normally stay on site, and a large freestanding backdrop is not included as standard.
Confirm access before fixing the position
Check unloading, parking, door widths, thresholds, stairs and the distance to the room. The Luxury Oak Booth cannot be carried up or down stairs, so a suitable lift or ramp route must be assessed for an upstairs location. Tell us about loading appointments or supplier restrictions before the event plan is final.
Allow space for the full experience: photography or artwork, staff where included, waiting guests and collection. Keep entrances and venue circulation routes clear. Confirm the required power and connectivity at the proposed location, and discuss any seated participation or other access needs as part of the layout.
Plan lighting, weather and operating hours
GLAM needs controlled lighting, normally indoors. Outdoor installations require prior assessment and appropriate weather protection, flooring and power. Do not assume a lawn, open terrace or marquee is suitable without discussing the actual structure and conditions. Agree a workable alternative with the venue before installation begins.
Distinguish delivery and testing from the hours guests can participate. Include speeches, meals, breaks and any room changes in the running order. Moving an installation is not automatic; agree the route, time and any impact on service beforehand. Collection arrangements matter too, especially when venues have restricted departure times.
Allow room for live drawing
AI Sketch Bots draw guest illustrations with real pen on paper. Standard packages include two bots; larger configurations, such as the four-bot example pictured, need to be agreed. Plan the capture point, reliable internet, viewing space and portrait collection, then match the illustration style and operating time to expected demand.

Give shared artwork its own plan
The physical Mosaic Wall includes an ICON Booth and coded photo tiles that guests place to build a larger image. Agree the master artwork, tile quantity, reveal timing and handover. A screen-based Digital Mosaic is a separate format, not simply the physical wall shown on a television.
The AI Graffiti Wall uses digital spray cans and a digital canvas, without physical paint. AI Line 2 Life is optional. Allow for the screen, people creating and people watching, and agree the creative prompt, technician support and any finished-artwork delivery before the event.
Approve the details guests will see
Confirm the relevant screen designs, backdrops, print layouts and artwork through the agreed approval process. Check names, dates, logos and readability. MooMuu does not supply props. Any separate decorations or accessories should be discussed so they suit the setup and do not obstruct equipment or guest movement.
MooMuu can provide data capture for corporate events. Include the purpose, fields, guest choices, consent wording and handover needs in the brief. Keep photo delivery separate from marketing consent. Do not assume that data capture includes badge scanning, registration syncing, CRM integration or every possible reporting metric.
Finish with one agreed event plan
Your final proposal should identify the experience, venue and date, operating period, staffing, outputs and any extras. Keep supplier arrival, venue contact, technical requirements and collection instructions together. For bespoke AI work, allow time to develop, test and approve the creative direction before guests arrive.
