1. Start with the event brief
Describe your audience, the occasion and the role of the experience. You might want a personal keepsake, a shared creative activity or a conversation starter on an exhibition stand. One clear priority makes it easier to choose the format and assess the proposal.
Include your date, venue or area, approximate guest numbers and available time. Early ideas are welcome; you do not need a finished creative concept before speaking to us.
2. Match the format to the guest activity

3. Develop and approve the creative direction

Agree which artwork, screens and outputs can be customised, who will approve them and the preparation deadline. Review sample results before the event. AI outputs can vary, so the aim is an agreed creative direction rather than an identical result for every guest.
4. Plan participation from arrival to collection
Guests should be able to understand the activity, decide whether to join and see where to collect or receive their result. Place the experience where it can be noticed without obstructing a doorway, catering route or the main programme.

5. Agree outputs and any data capture
Be clear about what guests receive and what the organiser receives. Digital portraits, paper drawings, printed photographs and finished artwork are different deliverables. Confirm their format, branding and delivery method in the proposal.
