Wedding Entertainment Checklist: Booking to Event Day

Plan wedding entertainment from enquiry to event day: compare the package, confirm the booking, agree venue access and approve the creative details.

Booking wedding entertainment works best as a sequence: check the date and venue, choose the right experience, confirm the booking, then agree the practical and creative details. You do not need one universal month-by-month deadline for every decision.

This guide focuses on what to organise from your first enquiry to the wedding day. If you are still deciding when to approach suppliers, read our guide to making your first entertainment enquiry.

First enquiry: agree the purpose

Decide which part of the celebration you want the experience to support. During a drinks reception, guests may join while photographs are being taken elsewhere. In the evening, it can provide another activity alongside dancing. Neither slot is automatically right for every wedding.

Tell MooMuu your date, venue, approximate guest numbers and preferred operating window. If you want activity before and after dinner, ask how the full timetable would be quoted. Do not assume a pause, relocation or split operating period is included.

Before booking: compare the complete package

Compare the MooMuu range by output and guest experience as well as appearance. Luxury Oak and ICON offer attended photography, personalised prints and digital sharing. Signature GLAM is the controlled-lighting, monochrome portrait option, with a black or white backdrop.

The Digital Booth is self-service and print-free, with delivery, installation, testing, collection and remote support. An attendant does not normally stay on site. A large freestanding backdrop is not included as standard.

Check what your quote includes: hire hours, staffing, prints or other keepsakes, backdrop, personalised artwork and delivery arrangements. MooMuu does not supply props. A separate experience such as a live Mosaic Wall needs its own scope rather than being assumed part of a photo-booth package.

Booking confirmation: know what is secured

An availability check or enquiry does not reserve the date. Follow the booking steps shown in your quote and read the terms before proceeding. Keep the written confirmation with your wedding plans; ask MooMuu if you are unsure whether the booking is complete.

Do not assume every later change will be possible. If the date, venue, experience or hours change, contact us so availability, suitability and any effect on the quote can be reviewed.

Venue planning: share one practical brief

Agree the setup location with your venue and MooMuu. Include the complete portrait or activity area, power, guest access and queue space. Share the load-in route, parking arrangements, access windows and the name of the venue contact.

A room move between the ceremony and reception may affect installation. For Luxury Oak, equipment cannot be carried up or down stairs; any lift or ramp route needs checking. Outdoor use must be assessed separately rather than assumed because a booth has an open layout.

Ask the venue what documents or approvals it needs and by when. Use those actual requirements to plan, rather than relying on a generic instruction to contact the venue a fixed number of months ahead.

Creative planning: approve the right details

Develop print artwork, names, dates, colours and any selected digital elements once the experience is agreed. Check spelling, legibility and the final proof. A design that matches your stationery still needs to work at the size of the finished photograph or screen.

Agree the submission and approval deadlines with MooMuu. Ask for the dates that apply to your chosen experience and brief. Tell us early if another supplier is providing a backdrop or decorative installation so compatibility can be checked.

Final handover: check the running order

Before the event, confirm installation access, the agreed operating times, any planned pauses, collection arrangements and the event-day contact. Share changes to the timetable with everyone affected rather than assuming one supplier will pass them on.

The venue team should know where the experience goes and how guests will reach it. Your photographer, planner and other entertainers should know when it runs. Keep time for conversation, dinner and spontaneous moments; entertainment does not need to fill every gap.

Turn your outline into a practical plan

Tell us about your wedding, including your date, venue and the part of the day you want the experience to support. We can help you choose the format and identify the details that need agreeing next.
