A conference engagement wall can give delegates something to create together between sessions. This is an illustrative planning example, not a report of a named client event or verified campaign results. It shows how a conference team could brief a mosaic experience, manage guest flow and decide what evidence to collect.
The example brief
Imagine a leadership conference with clients, partners and colleagues attending a mix of presentations and networking sessions. The organiser wants a visible shared activity in the networking area and a finished artwork for a post-event recap. Some colleagues may join remotely.

Choose one main objective first: encouraging participation in the room, connecting several locations, or creating a collective commemorative image. These objectives may call for different delivery formats. Do not treat a busy activation as proof that all three have been achieved.
Choose the right engagement-wall format
For delegates at the venue

The Digital Mosaic is a separate screen-based experience. Guests take or upload photographs through a QR code or branded link, including from remote locations. Choose attended on-site delivery or remote monitoring during an agreed operating window. Reliable internet, display arrangements and any optional moderation are planned in advance; the finished high-resolution artwork is delivered digitally. This may suit the example brief if remote colleagues should contribute to the same image. Agree screen or AV provision at each location and the contribution window in advance.
Place the activity where delegates have time
A position near the networking area could work, provided it does not obstruct registration, refreshments or the route into sessions. Leave space to participate, wait briefly and view the developing artwork without blocking anyone who is passing through.
Use the running order to identify genuine opportunities: arrival, selected breaks, lunch or the closing reception. A short break with several hundred attendees is not the same as several hours of open networking. Ask MooMuu to advise on a manageable flow instead of assuming every delegate can contribute.
Make the invitation clear
For the physical wall, a sign might say: “Take a portrait. Keep a print. Add your tile to our shared image.” For Digital Mosaic, show the QR code or link and explain what guests can upload and where their photograph will appear.
Keep participation optional and explain the intended use of submitted photographs. If image review is important, agree the optional moderation workflow before launch. The event team and MooMuu should also agree who handles guest questions and any requests concerning contributions.

Plan the reveal without promising a result
If the artwork should be ready for a closing presentation, work backwards from that moment. Confirm the master image, tile plan, contribution cut-off and completion arrangements. Test the display or physical viewing position and agree who will introduce the reveal.
Prepare a practical plan for fewer contributions or a delayed running order. The final visual should follow the agreed production plan, not rely on a claim that every attendee will participate or that the wall will automatically fill by a particular time.
What to measure at your own event
- Contributions: count submitted or placed images, and state whether repeat visits are included.
- Unique participants: use this figure only if an agreed method can distinguish individuals from multiple contributions.
- Guest flow: record queue observations and how long interactions take during comparable periods. Describe any sampling limits.
- Conversations: have the event team record meaningful follow-up conversations separately from booth use.
- Delivered content: confirm the agreed artwork and other assets were received. Do not equate file delivery with public social-media sharing.
These are suggested measurement questions, not claims about included analytics. Agree what can be collected and reported before booking. To claim an improvement, you need an appropriate comparison and a consistent measurement method; observations from one busy break are not enough to establish increased dwell time or sales.
Plan the after-event handover
